The Center for Career Development is pleased to offer a variety of recruiting event options to suit your organization’s engagement strategy and goals. For all of these events, we can accommodate an in-person or virtual format, depending on your needs.
All employer events, coffee chats, and interviews must be posted and approved in 12twenty, Rice’s career management platform. Log in or create an account at rice.12twenty.com/hire. Recruiting Presentations, Company Panels, and Lunch & Learns
Fees and Availability
In-person sessions will incur a $150 reservation fee, which includes optimized scheduling, space reservation, and staff coverage. The fee does not include catering for your event; employers are responsible for ordering catering. More details will be provided upon event approval. The employer representative listed as the primary event contact will receive an invoice at the time of event approval in 12twenty. Failure to submit payment within 60 days after your event may result in difficulty scheduling and participating in future recruitment events at Rice University.
Recruiting presentations and company panels may be hosted Mondays through Thursdays from 4:00-5:00 pm, 5:30-6:30 pm, or 7:00-8:00 pm. Lunch & Learns may be hosted Mondays through Fridays from 12:00-1:00 pm.
There is no fee for virtual recruiting presentations, company panels, and Lunch & Learns.
Recruiting Presentations
A recruiting presentation is a dynamic and informative event where employers will have the opportunity to present their organization, company culture, and upcoming roles directly to students. This event type is designed to connect potential candidates with hiring companies and offer insights into the company’s mission, values, and benefits. In addition to a company overview, employers may also supplement their recruiting presentation with time for a Q&A session and/or networking to close out their event.
Company Panels
Hosting a company panel is an engaging and interactive way for employers to bring together a diverse group of representatives from across an array of departments and functions within their organization to provide students with a comprehensive understanding of the different roles and career paths available. It’s an excellent opportunity for students to hear firsthand from employees about their experiences, daily work life, and what makes your organization a unique and rewarding place to work. Employers should aim to highlight the collaborative and dynamic nature of their workplace while addressing specific questions and interests of the student audience.
Lunch & Learns
Lunch & Learns offer a unique and intimate setting for employers to connect with a select group of students over a shared meal. This round-table style event combines the informative elements of a recruiting presentation with the personal engagement of a small group discussion. It provides a relaxed yet focused environment where students can learn about the company, ask questions, and network with representatives in attendance. Employers can connect with prospective talent, provide detailed insights into their organization, and foster meaningful relationships with future professionals.
Coffee Chats
Coffee chats are a relaxed and informal opportunity that allows employers to connect with and introduce themselves to students, share insights about their organization, and engage with students in a more personal and conversational setting.
Coffee chats are highly flexible and customizable. Employers can host one-on-one or small group chats. Employers can also determine the total duration of their event, the length of each meeting slot (typically ranging from 10 to 30 minutes), the number of representatives in attendance, and their format preference. Finally, employers can decide if they want students to sign up in advance to secure a specific time to meet with a representative or if walk-ups are welcome to foster spontaneous interactions.
Coffee chats may be hosted anytime during the business day (9:00 am-5:00 pm), Mondays through Fridays. There is no fee to host an in-person or virtual coffee chat.
Campus Interviews
Campus Interviews offer students the convenience and opportunity to engage directly with employers without leaving the Rice campus. This event facilitates the interview process for full-time and internship positions, providing students with a streamlined and accessible way to meet potential employers.
Prior to requesting an interview schedule in 12twenty, employers must determine which interview schedule type will best fit their goals:
A pre-select schedule has a distinct application period followed by an employer decision period for the recruiting team to select the candidates they will be interviewing, and finally, a student decision period for the selected candidates to choose their interview times. The schedule must have a job or internship posting linked to it in 12twenty, and all three periods must be separate and cannot run concurrently. As such, this schedule type will not work for any opportunity that has a flexible or rolling hiring timeline.
A room only schedule allows for a room or rooms to be reserved for the employer to host their campus interviews, with the understanding that the application submission and review process and interview schedule will be managed by the employer outside of 12twenty. The employer is also responsible for all student communications confirming selection, interview time, and location.
Interviews may be scheduled anytime during the business day (9:00 am-5:00 pm), Mondays through Fridays. There is no fee to host in-person or virtual campus interviews.
Dates for 2024-25 Campus Recruiting
Employers may schedule recruiting events anytime during the academic year when classes are in session with the exception of the blackout dates listed below.
Recruiting events for the Fall 2024 semester may be scheduled between August 26 - December 6, 2024.
Recruiting events for the Spring 2025 semester may be scheduled between January 13 - April 18, 2025. Registration for fall recruiting will open on November 11, 2024 in 12twenty.
In order to allow for greater visibility among our students and to ensure ample time for registration and promotion, we recommend submitting your event request in 12twenty at least two weeks prior to your intended event date. Event request submissions made after this point may result in lower-than-desired registration and attendance numbers.

When scheduling and requesting your event in 12twenty, we ask that you remain mindful of campus programming and happenings that may adversely affect student attendance. While a few such conflicts are listed below, we encourage you to reach out to our office if you have a concern about a certain date or event.
