making it easier than ever to recruit ALL Rice students.
PREPARING FOR THE EXPO

Clearly mark all displays and boxes with “Career Expo” and your company name. All materials mailed to this address will be at your booth the morning of the Expo. Due to limited storage space, materials must not arrive before Thursday, September 4. In planning your materials, please note that your booth contains one six-foot table and two chairs. All displays must be freestanding and cannot be wider than six feet. Space is limited; please be mindful of your neighbors and keep displays within your booth area.
Due to the layout of Tudor Fieldhouse, we are unable to guarantee access to electricity for your booth. We strongly encourage you to bring displays that do not require electricity. However, if you have an absolute requirement for electricity, please notify us, and we will do our best to accommodate you. If you have requested electricity, be sure to bring a heavy duty extension cord and duct tape, as these items will not be provided for you.
Review Company Information
The information provided in your registration will be included in the event guidebook. The guidebook will be made available on our website prior to the event, and will also be distributed at the event. Please review your company information and email any changes by Wednesday, August 27.
Make Hotel Reservation
In planning your visit, please make arrangements that allow for representatives to stay the duration of the event to accommodate all students’ schedules. Don't forget to ask about Rice University discounts when making your reservations. A list of hotels is available on the Rice University website.
Notice of Cancelation Policy
If you need to cancel your registration, please email Jessica Fleenor. All cancellation requests received between before August 11, 2014 will receive a 75% refund. All cancellations received after August 11, 2014 will not receive a refund. There are no exceptions to this policy.
THE DAY OF THE EXPO
Arrive & Unload
You may begin arriving and unloading at 8:30 a.m. There will be signs around the campus to guide you to the venue and unloading areas. You may park in front of Tudor Fieldhouse temporarily (with your hazard lights on) while you unload. Volunteers will be available to assist you with unloading. Do not block pedestrian walkways or bus stops, as you will be ticketed by the Rice University Police. Directions and campus maps are available to help you navigate the area.
Park & Sign In
Parking is available in Greenbriar Lot, located behind the Rice stadium, using entrance 13A. There will be signs directing you to the parking area, and you will see a white tent just inside the entrance. A volunteer will greet you at the entrance of the lot. Be sure to let them know you are attending the Expo. A shuttle will be available throughout the day to take you back and forth to Tudor Fieldhouse. View campus map and parking directions.
Once you arrive at Tudor Fieldhouse, check in at the employer registration table located just inside the entrance to receive your meal vouchers and be escorted to your booth.
Connect with Student Leaders at the Employer Welcome Breakfast
You’re invited to the Employer Welcome Breakfast! Join us in Trauber Suite (second floor of Tudor Fieldhouse) from 8:30 – 10:00 a.m. to connect with Rice University’s student leaders and learn more about our student-run clubs and organizations.
Join Us for Lunch & Breaks
Use your meal voucher to cash in on lunch in Trauber Suite (second floor of Tudor Fieldhouse) between 11:00 a.m. and 1:00 p.m. Snacks, water, and sodas will be provided throughout the day.
Ship Unused Materials
During the event, a volunteer will touch base with you at your booth regarding your shipping needs. Please have all packages mail-ready and brought to the entrance of Tudor Fieldhouse by 4:00 p.m. FedEx packages (recommended) will be shipped at 4:30 p.m., and UPS packages will be shipped on Friday, September 12.
If you are using another carrier, please make your own arrangements as we will not be available to monitor the arrival of other carriers.
